Booking Terms & Conditions

Your contract

Your contract is with Smart Fox Travel SRL (trading as Romania Step by Step or Bucharest Step by Step), Aleea Fuiorului 3, Bl H16A, Ap 27, Bucharest, Romania which is registered in Romania under company number ####. The following conditions, together with our privacy policy, the relevant information set out on our website and any other written information we brought to your attention before we confirmed your booking, will form the basis of your contract with the Company. Please read them carefully before you book.

By making a booking, the first named person on the booking agrees on behalf of all persons detailed on the booking that:

  • he/she has read these Terms and Conditions and has the authority to and does agree to be bound by them;
  • he/she consents to our use of information and personal data in accordance with our Privacy Policy and is authorised on behalf of all persons named on the booking to disclose their personal details to us, including where applicable, special categories of data (such as information on health conditions or disabilities and dietary requirements);
  • he/she is over 18 years of age and where placing an order for services with age restrictions declares that he/she and all members of the party are of the appropriate age to purchase those services;
  • he/she accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.

Your booking

Our aim is to provide the right holiday to suit your requirements. You can call us on +XXXXX or email info@romaniastepbystep.com and we will tailor-make an itinerary for you and provide you with a price per person. In order to maintain our customer services standards and to assist with the on-going training of our staff, we may record or monitor our telephone conversations or emails with you.

Subject to the availability of your chosen arrangements, we will confirm your holiday by issuing a confirmation invoice. This invoice will be sent to the party leader or your travel agent. Contact us immediately if any information which appears on the confirmation or any other document appears to be incorrect or incomplete as it may not be possible to make changes later. We regret we cannot accept any liability if we are not notified of any inaccuracies (for which we are responsible) in any document within 10 days of our sending it out. We will do our best to rectify any mistake notified to us outside these time limits but you must meet any costs involved in doing so.

We will communicate with you by e-mail in relation to your booking, therefore, you must check your e-mails on a regular basis. We may also contact you by telephone and/or post if we cannot, for whatever reason, contact you by e-mail.

Reserving your trip

As all our holidays are bespoke, the services included are subject to confirmation by the suppliers concerned which we can only request once you have made payment.

To secure your booking we need to reserve accommodation, tour guides, cars and other third party services. Therefore, if you are booking earlier than 120 days of departure, a non-refundable deposit of 500 EUR per person is required to reserve the tour. The invoices will be sent to your contact email address.

If you are booking within 120 days of departure, the full cost of the holiday must be paid.  Accordingly, no contract will exist until we issue our confirmation invoice as referred to above. If for any reason we are unable to confirm, all payments will be refunded.

Confirmation package

As soon as we receive your reservation and deposit, we will send you detailed information on what to bring, how to prepare for your trip, travel directions, detailed itinerary.

Balance Payments

The balance of the trip price is due 120 days prior to start of the tour, payable by bank transfer. We will send the invoice for the remaining amount via email. If the balance is not paid when due, Smart Fox Travel SRL reserves the right to regard the reservation as cancelled.

 

Cancellations and Refunds

If you must cancel your reservation, we will refund your deposit, less the following fees:

When you cancel a trip, we must ask you to notify us in writing. Exceptions to these policies cannot be made for any reason. If unforeseen circumstances require a change to the trip itinerary, Smart Fox Travel SRL will make every effort to select alternative hotels of the same standard and to keep modifications to a minimum. Smart Fox Travel SRL reserves the right to cancel a trip for any reason. In such an instance, we will refund all payments received, which will constitute full settlement.

Cutting your Holiday Short

If you are forced to return home early, we cannot refund the cost of any travel arrangements you have not used. If you cut short your holiday and return home early in circumstances where you have no reasonable cause for complaint about the standard of accommodation and services provided, we will not offer you any refund for that part of your holiday not completed, or be liable for any associated costs you may incur. Depending on the circumstances, your travel insurance may offer cover for curtailment and we suggest that any claim is made directly with them.

Special Requests and Medical Conditions/Disabilities

If you have any special request, you must advise us at the time of booking. Although we will endeavour to pass any reasonable requests on to the relevant supplier, we regret we cannot guarantee any request will be met. Failure to meet any special request will not be a breach of contract on our part. Confirmation that a special request has been noted or passed on to the supplier or the inclusion of the special request on your confirmation invoice or any other documentation is not confirmation that the request will be met. Unless and until specifically confirmed, all special requests are subject to availability. For your own protection, you should obtain confirmation in writing that a special request will be complied with (where it is possible to give this) where it is important to you.

We regret we cannot accept any conditional bookings, i.e. any booking which is specified to be conditional on the fulfilment of a particular request. All such bookings will be treated as “standard” bookings subject to the above provisions on special requests.

Insurance

Adequate travel insurance is a condition of your contract with us. You must be satisfied that your insurance fully covers all your personal requirements including pre-existing medical conditions, cancellation charges, medical expenses and repatriation in the event of accident or illness You must provide us with the name of your insurer, policy number and 24 hour emergency number before you travel but we will not check your chosen insurance policy for suitability. Please read your policy details carefully and take them with you on holiday. It is your responsibility to ensure that the insurance cover you purchase is suitable and adequate for your particular needs. If you choose to travel without adequate insurance cover, we will not be liable for any losses howsoever arising, in respect of which insurance cover would otherwise have been available.

Governing Law

These Terms and Conditions and any matters arising from it are governed in all respects by the laws of Romania.
